Hi William. Thank you for the informative article. I have migrated users from Exchange/Outlook 2007 organization to a user account/resource account model using Exchange/Outlook 2010. In the course of migrating autocomplete is wiped, perhaps due to the change in format from nk2 to the dat model. For whatever reason, the autocomplete sort of starts from scratch. I've used a script to move sent item values to suggested contacts, but there are issues related to that (I won't go into them here) I have a couple of questions. How is the Stream_Autocomplete_0_XXXXX.dat filename derived? Is it possible for me to use the old nk2 file as a basis for the dat file? I'm suggesting that if I can understand how the user's Stream_Autocomplete filename is created I can rename the nk2 file using that information post-migration. Not sure if that makes sense, but if you could shed some light on the origins of the 2010 cache file name and if you think my crazy scheme will work, I'd be grateful. Thanks again for your help. When will Outlook catch up to Lotus Notes on this one? For at least the past 15 years, it has been possible to schedule a meeting based on a pattern such as "the first Tuesday after the 15th of every month." When we migrated from Notes to Outlook, one of the real gotchas for our Corporate headquarters and executive staff was the fact that every one of their "custom repeating meetings" broke, had to be deleted and recreated. One Executive Assistant told me that it took 72 meetings to replace what had been FOUR meetings in Notes. Which meant that the Executive and management attendees of those meetings had to accept 72 meetings rather than 4. If you don't think this is a ridiculous waste of time, then you obviously don't work in a corporate environment. Not only that, but if the Executive who set, say, the "First Tuesday after the 15th" meeting decides that Tuesdays won't work anymore, his EA now has to track down ALL the meetings to change them to Wednesday, rather than simply one. This takes even more time. I would love to see Outlook 2012, or whatever is coming next, simply manage to match the calendar functionality of Lotus Notes 6.5, which was released in 2003.]]>

Simple to use should be a goal, but you can't please everyone as the features you use frequently may not be the ones I use. So how does Microsoft (or any vendor) choose what to put right up front? Educated guesses. In Outlook, and many other programs, you can customize the toolbars to easily access your favorite features. While I like a simple to use product, not at the expense of features. I see this a lot with "cloud" and phone apps, yes, they're scaled down and easy to use; but inevitably I find something missing that I use in the full version.]]>

I'm afraid I have to agree, in part. Outlook 2010 is more complicated and in some cases, harder to use. Why do I need to open a message, switch tabs, and hit button to look at the properties when this feature used to be available from the preview window with a right click? Why is it almost impossible to figure out how to make a message sent to me "high importance" when I want to flag it for follow-up? Again, I have to open the darn thing and switch tabs, instead of simply using nested menus. Microsoft has NOT made things easier, especially for the power user. And for the regular user, who just wants it to WORK? They end up doing one of two things: using a known work-around, like your example user working in Word, or calling the Help Desk for stuff they used to be able to figure out on their own. It feels like "change for change's sake" -- like suddenly rearranging all the basic pieces of an automobile for no good reason. And yes, in some cases, I do agree with Dvarsam: it's pushing some users to seriously look at alternatives.]]>

It's because Outlook has stopped being easy to use! Everything is burried so deep down, that the user instead of spending 10 minutes typing down an E-mail, probably needs to spend a full day just wondering where are the mgmt tools hidden...!!! And Businesses are focused on completing ongoing/everyday activities & not wasting their days wondering around where the help tools/options are hidden. At the same time, "windowsitpro" & similar sites existance is relying on exactly this!!! As long as things are complicated, there is always jobs for everybody: 1. You to write the article (and get paid), 2. businesses to request outside technicians to install ms apps because they can't get them installed otherwise (and pay for it) 3. and nobody thinking that we could ALL have spent our time more productively (i.e. with our families or even other activities) It seems that everyone is waisting time & money just to get things running! So, the question is: Why do we all have to pay such a high price for all this? No wonder why Google Android is beating all expectations down in the Mobile Market -> "it's the simplycity stupid"!!! ]]>

Same here, as far as agreeing with G-Man that the best way is to use BCC. I once worked in a very toxic and CYA environment in which certain people would enjoy using Reply All to point out any mistake you might have made in email. Most people used Outlook, but we also had a lot of people with various email clients on UNIX, Linux, and smartphones. I used Outlook. Did I mention the CYA environment? Inevitably, in a CYA environment, you’ll have someone say they didn’t get your email if you BCC everyone. The nice thing about Outlook is that you can go to your Sent Items, open the email you BCC’ed, and everyone you BCC’ed to will be shown. So, you still have proof you sent it to them and you can provide the list of recipients to management if they want to push it that far.

BTW, I always put my own email address in the To field as some email servers or spam filters will reject an email or mark it as spam if it has an empty To field.]]>

Nice idea, only works with Outlook - users on blackberries or other smartphones still have the ability to reply all or forward. The best way I have found to avoid reply all is to put the names in BCC:]]>

If the operative word is "merge" the PSTs as the title suggests, then I suspect a simpler and more efficient process would be to Archive the contents of one PST into another, moving all items older then current date (or some future date). This will replicate folder structures within the new PST or place mail in existing like-named folders (merge the mail). Manually dragging individual folders is time consuming and more prone to problems of placing data in incorrect structures. And of course the archive process is free as function of Outlook.]]>

Great Article thanks!... I guess I’m still wondering why Microsoft is making things so difficult? Or I don’t know how to use the functionality. Love that you can assing an email to Onenote - but why must it be a whole email, it takes up a ton of space and if you do multiple ones - you end up spending most of your time scrolling. Just past the link in one note - If I’m in onenote - click on the link and open the email in Outlook. Even moreso - why is this just for Outlook? Why can’t microsoft easily tag everything? If I’m in an Excel doc - I want to tag it project A right from the Excel screen, same with Word docs, web pages etc. etc. Then - let me go into oneNote and bring up all docs, links, emails, etc. for ProjectA. Before 2010, it was easy to migrate a user’s nickname file to another computer or even Outlook profile by copying/renaming the NK2 file. I like that the AutoComplete Cache follows the user’s mailbox, but what if you wanted to backup the data because it was missing one day (presumed corrupt)?]]>

Great article - thank you. I hadn’t noticed that Outlook synced the sender/recipient lists with Hotmail - nice feature. Shame that the rules themselves aren’t synced.

One thing that does frustrate me, though, is that you are stuck with sending email as if it is from the underlying Hotmail email address, even if you’ve set up Hotmail to support multiple addresses and, optionally, made one of those the default addresses. It spoils an otherwise ideal collaboration between Outlook and Hotmail.

Beware, iTunes does not work with 64 bit versions of Office. The 64 bit version of iTunes is a 64 bit installer that installs a 32 bit version of iTunes. The 32 bit COM add-in doesn’t work with the 64 bit Outlook, so you cannot sync any Outlook data with an iPhone.]]>

Somehow I read your entire article wo/joining or VIP access...now that I joined I can’t see it. My questions remain. (0) I have a "fresh" install of OL08 SP2 --- uploaded old PST file, migrated to Exchange Server. (1) Downloaded Calendar Printing Assistant. On a given day, it shows every appt for EVERY year that I have maintained the calendar. I do NOT experiece that in OL. ANY IDEAS? I could archive the calendar, but would rather not. Its a problem with that template you discussed? (2) Also, printing within OL08, in calendar view, OL crashes if task items are included in the view. If task items are not requested, printing is fine. If you don’t want to have to hit Shift+Enter every time, here is a free script that will do it for you: http://www.fix-outlook-line-breaks.com/ The script uses AutoHotKey to remap the Enter key to the Shift+Enter combination, but only within the HTML composition window of Outlook. One important limitation of the new unicode PSTs is that they can’t be read by exmerge. Exmerge can only work with the old PST format. Where this frequently comes into play is if you create PSTs as an intermediate storage format while transferring data from one Exchange server to another. Resist the temptation to get around the 2 GB limit by creating unicode PSTs on the client side unless you want to do the import from the client side as well.]]>

Another issue with PST files is that you can’t read a PST if it’s on a CD or DVD. You need to copy it locally and remove the read-only bit. If a PST is already embedded in the user’s profile, exit. Move the PST file into a good location (I prefer under My Documents and then create a folder called My Email). OPen Outlook, it will ask where the PST file is. Browse to it. That’s it. Of course an alternative to a large PST is two or more smaller PST files.]]>
