Hi,
I have a distribution list in outlook and in sharepoint,if client has any queries he sends a mail to the distribution list and any one from that list will answer the query.what we want is whenever a query is raised by the client to the distributon list we want it to be updated in sharepoint Discussion board and even the reply given to the query though mail should be updated in the sharepoint.Please help me to get the solution for this]]>

Sigi, I am working on understanding why a significant set of a user’s contacts refuse to sync into SharePoint via Outlook. The messages in the sync log don’t provide any detail as to why the data is incompatible. It’s not the url; doesnt’ seem to be nonprintable characters in any field... I’ve tried with Outlook 2007 and Outlook 2010 Beta; same results. Thoughts?]]>

A very good summary. Only one issue. It works beautifully; we connect our EDRM tasks list in SharePoint in Outlook 2007 and when it works it is great. However, sometimes (usually an hour to three hours) it just stops synchronising. Tried , connecting again. All to no avail. Any idea what’s going wrong? Is stopping us from releasing to our 200 staff. :o/ Any help greatly appreciated]]>

I found your articles quite interesting... All nicely bookmarked now for future reference. I am still struggling with one thing when synchronizing a SharePoint document with Outlook. I prefer not to put all of the documents on the SharePoint site into different folders (since I have to go to each folder and open it to see what is inside). So I group the documents using custom views. Outlook uses custom views and grouping as well, so no problem, right? Yes and no. Outlook apparently doesn’t synchronize all the information associated with a document, so that chances are good that you are not going to be able to group them using the same information that is associated with the document on SharePoint. For example, if I use a site that associates documents with the meeting they are being discussed at, and view those documents grouped by meeting in the document list, then I am unable to group them in Outlook, I just have one long list of all documents. Unless... you know some way to also synchronize things like the data in all the columns associated with the document?]]>

I found this article because one of my users is complaining that the appointment doesn’t show up on his calendar without opening the message. With all my other users, once the message is received, the appointment is placed on the calendar whether they opened it or not. Does anyone know how to toggle this?]]>

Hi! I’m the author of the article. I did various tests in my Outlook 2007 client and the sniffer only took place when I read or viewed it in the preview pane. I never saw it happen automatically. I understand that there are differences between the Outlook versions, but I did not test the sniffer using Outlook 2003. Hi Ericgilroy, As a user, you can view your current Sharepoint version by clicking on Site Actions / Site Settings. On the Site Information pane, you can see the Version number. If it lists 12.0.0.x you have Sharepoint 2007, if it lists something below, you probably have Sharepoint Portal Server. Sharepoint 2007 is version 3.0, thus there were 2 versions before it. Thanks for the article and tips...good stuff. Any idea how to make a parent folder title change to bold if it contains any subfolders with new items? Right now I have to open up each "topic" folder (Technology, Sports, etc) to see what feeds have new items. I don’t want to always have expanded folders and subfolders, as it takes up way too much space in the Mail Folders view.]]>

Hi! I am the author of the article above. Regarding your question, you cannot share a shared calendar using Sharepoint 2007. But you can create a calendar on a Sharepoint site, and have all your people to synchronize this calendar list with their Outlook 2007 thus this provides a similar functionality as a shared calendar. I’m the author of the article and would like to give Robin a statement on his thoughts: OneNote 2007 comes with a PDA version, that in my point of view is not that useful as it does not support "on the screen writing". I understand and agree to your comments, notes have to be taken anywhere and you don’t want to carry around a laptop always. I also love the small sticky notes in Outlook and found it quite dissatisfying that OneNote does not integrate to Outlook Notes in a good way (well, there is an add-on that you can use but it does not sync-only copy!). As you say, that’s the current situation and we have to wait for another version - maybe SP1? I will mention some of my thoughts in my December column if you agree. Also, PDA integration is also the big disadvantage in my Sharepoint series, so Microsoft lacks of integration more than only here. But does this version now provide integration with Outlook Notes or provide a PDA version? For me this product is pointless without it. The place where I capture notes is often on my PDA, which I sync with Outlook. The place where I read my notes is also often on my PDA - I cant carry a laptop on my belt. Outlook notes are pretty basic, but notes are of no use at all if you don’t have them when you need them. Perhaps Microsoft should call this product "Two Notes" (one set in Outlook & another in OneNote).]]>

Hi! I am the author of the article above. I recognized another limitation meanwhile. Just follow the these steps to enable synchronization with the list: Click on "Settings", then "List Settings" and click on "Add from existing site columns". Once you add the columns "IM Address" and "Department" to the list, it will immediately synchronize these. It seems that only Columns that are listed are synchronized, so you may want to add all in order to have them all synchronized with your SharePoint site. Best, Sigi]]>

hi i am trying to integrate outlook 2007 with sharepoint 2007 contact list. i want IM address and Department to be listed in sharepoint list, i tried adding the above said column in sharepoint list, provided values for the column in outlook 2007. but when i refresh my sharepoint site, ii was not able to see those 2 column values which i entered in outlook, other columns like, business phone mobile etc are working fine. can you please let me know . how to get the values in sharepoint contact list thanks sri]]>

I read all 3 articles, with each misleadingly promising info on tasks synchronization later on. Such info was never provided - the last article only talks about contacts and nothing else. This might be a bug in SP, but in my current setup tasks synchronize only when a user manually hits the "send/receive" button, even though there is an automatic send/receive schedule ever 5 minutes.]]>

Hi! I am the author of the article and would like to provide you with an answer on your question: Basically, Sharepoint up to WSS v3 does not support distribution lists (DLs) as you know them from Outlook. Unfortunately, you can only centrally manage your contacts. A work-around would be that you create a central contacts list for every DL you have on your Sharepoint and when sending a message, just open the correct address book (your contact list) and select just everybody. I know this is not very satisfying, but currently I am not aware of any work-around other than that. Once I find something, I will let you know. Oh, and of course I hope that Microsoft will implement this feature in their next version of Sharepoint. Best, Siegfried Jagott]]>

I too am looking forward to part 3, hopefully this question will be answered. I have MOSS 2007, Office 2007 and the WSS v3 and still have not figured nor found in other forums a way to manage distribution list in sharepoint the way they are able to be managed in Outlook 2007. Is there any way to do this without exchange? All I would like to do is share, manage, and edit my contacts/distribution lists in the same manner I do with outlook which for some reason is not intuitive in MOSS 2007. I have searched endlessly for an answer, please tell me you have the right answer, thanks for the great articles.]]>

Good Article but it sort of didnt help. was wondering if you know of any patches in either outlook or exchange that could help fix my problem in regards to Making Appointments with External Systems . when i create a appointment, say 9am, and send externally to a client, they recieve the appointment at 10am, when they accept, i get a reply saying its been accepted for 11am. what am i doing wrong, am i missing some configuration somewhere. can you please help. regards Jonathan]]>

I would like outlook to be a "smarter" tool. I would like it to use the public folders as resource that could auto sync. I currently use public calendars for projects, i must frequently sync with my personal calendar, (every 30-60 mins)because my personal calendar will remind me and public folders will not.
